The College Events team is responsible for booking and facilitating all College led events, functions and facilities bookings. This includes assisting academic or pupil managed events, managing the theatre box office and the organisation of key large-scale annual events and projects or providing full logistical assistance for them. With over 3500 bookings and events every year, the office is always busy and a key ‘go to’ department for all function related queries.
They will be under the direction of the College Events Manager regarding the delivery of all administrative requirements within the College events team. The role will provide full administrative support to the College Events team, as the key event booking software and database administrator, including the booking of College functions, facilities and events on the College event/venue management software, Kinetics (Kx). The role will act as first point of contact for Kx queries and bookings, requiring meticulous attention to detail and strong problem solving skills with an aptitude for organisation, multitasking and working to tight deadlines. CMS and event booking/box office software site building, ticket bookings and query handling all form part of this administrative role. Predominantly office based, this role will also have the expectation of hands-on support in the lead-up to and at headline events, some evening box office duties (shared amongst the team) and events team oversight of small scale department bookings which will require additional hours on some evenings each term and a few set weekends over the year. This role requires the individual to be comfortable working autonomously as well as part of team, with day-today operations based within the Events office. To have some understanding of the Commercial Events business additionally, to provide support as and when it might be required, including an overview knowledge of all Kx related activities, and to assist Commercial events colleagues with on the day event assistance where required.
